 Before your Conference/Convention 

  • Sign your invoice at least two (2) weeks prior to the start of the shoot. Or if it’s a last minute booking where the event is happening within two weeks, you must sign within 48-hours. Last minute staffing surcharge of $100+/staff may apply if you don’t sign for the project.
  • It is important to fill your questionnaire out and be highly specific when answering so we can provide the best images possible for your event. Above all else, we will need an on-site contact name and cell number for the day of the event (our photographer with reach out to this person directly for alignment).
  • Communicate to your producer any changes not already noted or discussed prior to the event including: time/location change, addition of posed group shots, expedited turnaround, change to the look and feel or shot breakdown
  • Keep referring back to your project page (sent to you by your salesperson) to view:
    • Your invoice, questionnaire, photographer’s contact info, and to view and download your photos after the event

 Day Of 

  • Make sure the on-site contact you listed in your questionnaire is available via cell phone for the photographer to get in touch with upon arrival (text is fine if the contact will be running around)
  • If your event spans multiple days, please note that we may not staff the same photographer on every appointment, so it’s important that the on-site contact is available during all appointment start times
  • Having the on-site contact hold or set aside a badge for the photographer
  • If you indicated it in your questionnaire, please use the 15 minutes prior to the appointment to do a quick walkthrough with your photographer
  • Now is a good time to identify any VIPs the photographer needs to capture
  • Your photographer will document and capture a wide variety of shots including, but not limited to: speakers, audience members, environment, branding, interactions, swag, etc.

 After the Event 

  • If a different turnaround time is important to you, please inform us BEFORE the job so we can more easily accommodate this need (additional fees may apply).
  • Our standard turnaround on images is 10-days, but we do our best to beat this. If you purchased one of our other turnaround options (24-hours, 3-days, 5-days) you will get your images within that time frame.
  • Upon delivery, you will receive two links (both found on your project page). One will take you to an online gallery with the high-res images (good for sharing with guests so they can order prints, photobooks, etc). The second will take you to a gallery with download ready images (these are a smaller file size and at a resolution great for social media and online use).
  • You have 30-days to make any requests about missing images or any changes you need made to the gallery.
