Before the Event
Review Your Video Questionnaire
- Sign your invoice at least 2 weeks prior to the start of the shoot. Or if it’s a last minute booking where the event is happening within 2 weeks, you must sign within 48 hours. Last minute staffing surcharge of $100/staff may apply if you don’t sign for the project.
- You will receive a link from your Producer with questions about your upcoming shoot. Please fill that out with as much info as possible! The more input you give, the more in-line your video(s) will be with your vision.
- Crucial Information we need:
- Onsite contact and/or A/V contact for your event.
- Examples of videos with the look/feel you like
Upload Assets to the Video Questionnaire Page such as
- Floorplan
- High-Res Logo–if you would like branding on your video(s)
Provide the Following Additional Info for:
Highlight Reels
- Music selection.
Presentations/Speaker Coverage
- Names/Company Names/Official Title for speakers or interviewees
- Font/Text Color Preference
- Presentation slides if you would like those edited into the video(s)
- Soundboard location at the venue (will there be an XLR input?)
- Videographer position notated on the floorplan
- Is eye level is important (is there a need for risers?)
Testimonials/Interviews
- Location for interviews (relatively soundproof space is ideal).
- How many interviews and how long for each?
- The videographer will need extra setup time if switching between coverage elements (such as standard event coverage b-roll and interviews)
- Do you want the interviewee AND the interviewer mic’ed or just the interviewee?
- Will you provide an interviewer or should we bring someone on-site to interview the participants (an extra charge)?
Share These Interview Tips with Your Interviewee
- Remind the interviewee to look at you (not the camera or other people in the room) like you’re having a conversation.
- Explain that you’ll ask each question separately and remind them to pause at least 2 seconds before responding to the question (so we have more flexibility in editing and so that the question audio doesn’t cut in).
- To put them at ease explain that we’ll edit the final video and can re-record answers.
- Remind them not to swivel in their chair or use too many hand movements that could disrupt mic cord/ audio recording.
Day Of
- Have the onsite contact do a quick walk-through and/or introduce the videographer to the A/V contact when they arrive for setup.
- For interviews, make sure to introduce the interviewer to the videographer so they can connect before beginning interviews.
- Let the videographer know if there are any day-of changes or particular VIPS or elements that need to be recorded.
After the Event
- Edited videos have a standard turnaround time time of 14 days, but we do our best to beat this. This 14 days is for the first review, so you can view the video(s) and make editing requests.
- If your editing requests are beyond the standard, we will let you know if we need to charge extra for additional editing time.
- You have up to 14 days to request edits, and the producer will remind you to provide feedback if you exceed this time. If you are unresponsive, the producer will archive the footage and videos and will charge a dearchiving fee if you would like to move forward with editing later.
- You will receive your final video(s) within 1 week after requesting edits.
- Your producer will send a delivery email when the final video(s) are ready!
