 Before the Shoot 

  • Sign your invoice at least 2 weeks prior to the start of the shoot. Or if it’s a last minute booking where the event is happening within 2 weeks, you must sign within 48 hours. Last minute staffing surcharge of $100/staff may apply if you don’t sign for the project.
  • If you are adding a group photo in addition to other coverage (headshots, a photo booth or event coverage) be sure to inform your Salesperson or Producer as early into the process as possible.
  • Specify the number of people that will be in the group shot as this will help us determine what we need
    • 10-30 people can be lit with on camera flash, but strobes can still be added for an additional cost if desired.
    • For 30+ people, indoors, lighting with strobes will be recommended
    • 50+ people: It will help if we can shoot from somewhere elevated (second story, ladder, cherry picker, etc. Additional rental costs may be incurred)
  • Confirm that we have enough space to shoot. The larger the group the further back we’ll need to be able to get to insure that everyone looks proportional. For example for a 10-20 person group shot if people are seated and standing in a row of 8-10 chairs, we’d need to be back about 15-20 feet ideally. (A good rule of thumb is a foot per person so a 300 person group shot would be better at 300 feet away most likely on an elevated platform angled down towards people.)

 Day Of 

  • Your photographer(s) have been provided with the portrait details via the Producer and the questionnaire. They will touch base with the provided onsite contact upon arrival to the event.
  • Have the onsite contact do a quick walk-through with the lead photographer
    • Our talent show up 15 mins prior to the start of their appointment time, so this can be done during that time.
  • At times, the photographer may have an assistant with them if there is a lighting setup, but they may also be alone. Depending on the number of people in the group shot, having someone who can help wrangle the group is helpful.
  • A few pointers for the group:
    • If they can’t see the photographer from where they are standing, the photographer can’t see them in the photo.
    • Listen to the photographers suggestions and instructions, group shots are made more challenging when people are not paying attention to what needs to happen.

After the Shoot 

  • From the proofing gallery please select the instructed number of images for final selection (retouching may be available at an additional charge) within 2 weeks of receiving the gallery. After 2 weeks, we will make a selection for you and proceed with final delivery.
  • If a different turnaround time is important to you, please inform us BEFORE the job so we can more easily accommodate this need.
  • Our standard turnaround on images from an event is 10 days, but we do our best to beat this. If you purchased one of our other turnaround options (24 hours, 3 days, 5 days) you will get your images within that time frame.
